Nanhu Interactive ("we," "us," or "our") operates the Nanhu AI Voice Receptionist service. This Privacy Policy describes how we collect, use, and protect information.
We collect information you provide directly to us, including clinic name, contact information, billing information, and configuration details. In the course of providing our service, call data (including transcripts and caller information) may be processed and stored in accordance with applicable law.
Nanhu operates as a Business Associate under HIPAA where applicable. We will enter into a Business Associate Agreement (BAA) with covered entities as required by law. Call data containing Protected Health Information (PHI) is handled in accordance with our BAA commitments.
We do not sell your data or your patients' data to third parties. We may share data with service providers necessary to operate our platform (e.g., telephony providers, cloud infrastructure), subject to data processing agreements.
We retain call data and configuration information for the duration of your service subscription plus 90 days. Upon cancellation and request, data may be deleted in accordance with applicable law.
We implement commercially reasonable security measures including encryption in transit and at rest, access controls, and regular security reviews.

These Terms of Service govern your use of the Nanhu AI Voice Receptionist service provided by Nanhu Interactive ("Company"). By purchasing or using our service, you agree to these terms.
Nanhu provides an AI-powered voice receptionist service for dental clinics, including call answering, appointment scheduling, and FAQ handling. The service operates subject to configuration details provided during onboarding.
A one-time setup fee of $500 is due upon initiation of service. The monthly subscription fee of $500 is billed monthly in advance. Payments are processed via Stripe. Failure to pay may result in service suspension.
You may cancel your monthly subscription at any time with 30 days written notice. Cancellation takes effect at the end of the current billing period. Setup fees are non-refundable except as provided in our Refund Policy.
You are responsible for providing accurate clinic information, maintaining your scheduling software, and ensuring the AI is properly configured for your needs. You must notify us promptly of any changes to your hours, services, or contact information.
Our liability is limited to fees paid in the 30 days preceding any claim. We are not liable for missed appointments, scheduling errors due to inaccurate information provided by you, or any indirect, incidental, or consequential damages.
The service may only be used for lawful purposes in the United States. You may not use the service to engage in any fraudulent, deceptive, or illegal activity.

We want you to be satisfied with your experience with Nanhu. This policy explains our approach to refunds.
The one-time setup fee is non-refundable once onboarding has begun and the AI system has been configured for your clinic. If you cancel before onboarding begins, a full refund of the setup fee will be issued.
Monthly fees are non-refundable for the current billing period. If you cancel, your service will continue until the end of the period for which you have paid. We do not issue partial-month refunds.
If your clinic does not experience additional booked appointments within the first 30 days of the service going live, we will continue to work on your configuration and optimization at no additional cost until the desired outcome is achieved. This guarantee provides ongoing service, not a cash refund.
Refund requests outside these terms will be considered on a case-by-case basis. To request a refund or raise a concern, contact us at hello@nanhuinteractive.dev within 14 days of the relevant billing event.
We ask that you contact us before initiating a chargeback. We are committed to resolving disputes fairly and promptly.
